Does it read our staff's personal email?+
No. Email access is at the firm level via shared and role mailboxes only — no individual personal inbox connections are required or requested.
How does it know which email belongs to which case?+
Every inbound email is automatically linked to the right client and case by name, account, or document reference — and categorized by source: provider, insurance carrier, client, opposing counsel, court, or third party.
What counts as urgent, and what happens then?+
Safety issues, complaints, and deadlines are flagged red and trigger an SMS and push notification to the case manager. If the item isn't acknowledged within the SLA, escalation moves up to the supervisor, then to the firm owner. What counts as urgent is tuned to your firm's case types.
What exactly goes out on Fridays?+
Every client whose case had no activity that week automatically receives a simple, branded "no updates this week" email. It's fully automatic, keeps clients informed, and shuts down the Monday-morning "any update?" calls.
What if a case manager doesn't follow up?+
Every item requires a disposition — updated by email, text, or phone call, or "not updated" with a required reason. Supervisors see unactioned items and aging across the whole team, and the audit trail records who did what and when. It protects the firm — and it protects the case manager who's doing the work.
What happens to bills and documents that arrive by email?+
Medical bills are auto-detected and routed to The Ledger. Attached documents are auto-classified — medical record, bill, lien, settlement document — and filed to the case in your CRM (such as Neos). And everything captured stays searchable through Case Counsel.
